Grievance Policy
Purpose
IsoGentiX is committed to ensuring that any person — employee, contractor, field partner, community member, or external counterparty — who has a concern about IsoGentiX's conduct, the behaviour of its personnel, or a breach of any of its policies has a clear, accessible, and safe route to raise that concern.
This policy applies to all formal grievances raised with IsoGentiX. It operates alongside specific reporting procedures in individual policies (e.g. Anti-Bribery, PSEA, Child Protection), which may require concurrent escalation to external authorities.
What can be raised
A grievance may relate to any of the following:
- A suspected or actual breach of any IsoGentiX policy
- Discrimination, harassment, bullying, or victimisation
- Unfair treatment in recruitment, pay, or working conditions
- Concerns about health, safety, or environmental harm
- Concerns about the conduct of IsoGentiX in community engagement or field operations
- Any other matter of conduct or ethics that the person believes warrants investigation
How to raise a concern
Concerns may be raised in writing — by email or letter — addressed to any director of IsoGentiX. Where the concern involves a director, it should be addressed to the other directors collectively. Anonymous concerns may also be submitted; IsoGentiX will consider anonymous reports and investigate where it is practicable to do so without identifying the reporter.
Community members in Madagascar may raise concerns through local community liaison contacts engaged by IsoGentiX, who will transmit the concern to the appropriate director.
Investigation process
IsoGentiX will acknowledge receipt of a concern within five working days. A proportionate investigation will be conducted — the scope and method will depend on the nature of the concern. The person raising the concern will be kept informed of progress and will be notified of the outcome where this is possible without breaching confidentiality obligations to others.
Confidentiality
All concerns will be handled with discretion. The identity of the person raising the concern will not be disclosed beyond those who need to know for the purposes of investigation, except where disclosure is required by law.
Non-retaliation
No person will be penalised, disadvantaged, or subjected to adverse treatment for raising a concern in good faith under this policy. Retaliation against a person who has raised a concern is itself a serious disciplinary matter.
